Travel Agencies & B2B Partners

The Agents module allows bus companies to partner with external travel agencies, hotel tour desks, and independent ticket resellers. It manages commission agreements, prepaid wallet balances, postpaid credit limits, and financial settlements.

1. Partner Types & Billing Models

Before onboarding a partner, choose the billing arrangement that matches their commercial agreement:

ModelHow it WorksFinancial RiskBest Used For
Prepaid WalletPartner transfers funds in advance (e.g., $500 via Bakong KHQR or bank wire). Ticket fares deduct automatically from their balance.Zero Risk: Partner cannot sell tickets once their balance drops below the ticket fare.New travel agencies, roadside ticket kiosks, and independent freelancers.

2. Onboarding a New Partner

Step 1: Create the Partner Profile

  1. In the left navigation, click Agents.
  2. Click Create Agent in the top toolbar.
  3. Partner Profile:
    • Partner Name: Full registered agency name (e.g., Angkor Discovery Travel) or reseller name.
    • Contact Person: Manager or primary contact name.
    • Email & Phone: Office email and mobile phone for booking confirmations and top-up receipts.
  4. Commercial Terms:
    • Agent Type: Select Agency (business with multiple staff) or Independent (individual reseller).
    • Billing Mode: Choose Prepaid or Postpaid.
    • Credit Limit: For postpaid partners, enter the maximum permitted debt ceiling in USD (e.g., $1,500).
    • Commission Rate: Enter the agreed percentage earned per ticket (e.g., 10%).
  5. Click Create Agent.

Step 2: Create Login Credentials for Partner Staff

Registering an agency profile does not automatically create user accounts. To give the partner access to sell tickets:

  1. Open Admin Users from the left navigation.
  2. Click Add User.
  3. Enter their staff name, username, and secure password.
  4. In the Role dropdown, select Agent.
  5. In the Agent dropdown that appears, select the newly created agency profile.
  6. Click Create Admin and securely send the login credentials to the partner.
Privacy Guarantee

When agent staff log in, they see only their own bookings, seat holds, and wallet balance. They cannot view company-wide financial totals or bookings made by other agencies.

3. Managing Partner Wallets & Settlements

Topping Up a Prepaid Partner (Fast 60-Second Process)

When a prepaid partner sends a bank deposit or Bakong transfer:

  1. In Agents, locate the agency and click View Details (or the eye icon).
  2. On the partner overview card, click Top Up.
  3. Enter the deposited amount in USD (e.g., $500.00).
  4. Enter the Payment Reference (such as the bank wire transaction ID or Bakong reference code).
  5. Optionally upload an image of the bank slip.
  6. Click Confirm Top Up. The funds are credited to the partner's wallet immediately, allowing them to resume booking tickets.

Recording a Settlement for a Postpaid Partner

When a postpaid partner settles their weekly or monthly invoice:

  1. Open the partner profile under Agents.
  2. Review the Current Balance (displayed in red, showing total unpaid ticket debt).
  3. Click Settle.
  4. Enter the payment amount received, payment method (Bank Transfer, Cheque, or Cash), and receipt notes.
  5. Click Confirm Settlement. The payment reduces the partner's debt balance and restores their available credit limit.

4. Partner Ledger & Transaction History

Every financial movement is permanently tracked on the partner's profile under Transaction History:

  • Ticket Sale Deductions: Date, passenger booking reference, gross ticket fare, commission deducted, and resulting balance.
  • Top-Ups & Settlements: Inbound cash/bank payments logged with cashier staff name and receipt references.
  • Refund Adjustments: When a partner cancels a ticket according to policy, refunded amounts credit back to their ledger.

Frequently Asked Questions

A partner's booking failed with "Low Balance Alert". What happened?

For prepaid partners, the system halts ticket issuance as soon as the wallet balance is less than the required ticket fare. As soon as staff record a top-up payment, the booking lock clears instantly without requiring the partner to restart their browser.

Can an agency modify an already issued passenger ticket?

Agency staff can view passenger tickets and correct passenger names, but they cannot cancel or refund past-departure tickets without contacting your Head Office dispatch team.

If we change a partner's commission rate from 10% to 12%, does it affect past sales?

No. Updating the commission percentage applies strictly to tickets issued after the update. Completed bookings and past settlement ledgers remain unaltered.
